POLICE LICENSING & REGULATORY DEPARTMENT (PLRD) GUIDELINE

  • The front cover of the Occurrence Book shall indicate the location of deployment site;
  • All entries are to be recorded in chronological order
  • At the end of each day, the entry “Close book on xxxxx (Date)” at 2400 hours and “Open book on xxxxx (Date)” at 0001 hour must be entered in the Occurrence Book; and
  • The Serial number shall start from “1” (One) after each opening of the book
  • No line between entries in the Occurrence Book to be left blank

  • No line item can be dated in future.
  • Convenience for re-access, with password recorded.
  • Has the same validity as paper records.
  • Authentic, cannot be fabricated. Proper Accountability.
  • Scalability – You can have as many digital occurrence book open as you have sites, and you can have as many sites as you like.
  • In the event of an incident, a digital occurrence book is referred to as a source of evidence, like the way CCTV is used. The Digital Occurrence Book is therefore treated as an important source of information which should be tamper proof and stored for future reference.
  • The Digital Occurrence Book is regularly synchronised, giving a real-time record of activity on site.
